Your responsibilities

About Climate AnalyticsWe are a global climate science and policy institute established in 2008 to bring cutting-edge analysis to bear on the most pressing issue of our time – climate change. As the urgency of this problem has grown, so have we. Our team of over 130 comprises 32 different nationalities working at our offices in Togo, USA, Australia, Trinidad and Tobago, Nepal and Germany, as well as a diverse set of countries. We are motivated by the desire to empowerthose most vulnerable – Small Island Developing States and Least Developed Countries – to use the best science and analysis available in the international climate negotiations, as well as develop policies and institutional capacity to adapt to climate change.
Scope of WorkClimate Analytics Caribbean, based in Trinidad and Tobago supports governments in translating international climate agreements into national targets, policies and governance arrangements. The Caribbean office also works with regional civil society to raise awareness and knowledge about climate change, its impacts and the implications of the global discussion for the Caribbean. Current focus areas include research on adaptation and lossand damage, as well as policy approaches to the just transition and climate justice.
We seek a Team assistant to join our growing, friendly, dynamic team in the Caribbean. You will support the communications team, project manager, and office manager, and build relationships across our international organisation. You will also be tasked with administrative arrangements surrounding your role with us.

  • Supporting comms and projects teams with procurement of resources, goods and services according to CA policies
  • Organizing our external and internal events, which could include ordering catering booking venues and preparing the room
  • Scheduling team meetings and taking minutes of meetings
  • Supporting the communications team with marketing, promotion, research, and administrative tasks as necessary
  • Responsible for the smooth operation of the office, this includes but is not limited to:
    • The ordering and maintenance of our technical equipment, ordering supplies and hardware
    • Keeping on top of our kitchen supplies, being the main point of contact for postal duties
    • Implementing and maintaining procedures around the office, assisting with document administration and general office tidiness
  • Overseeing the general email addresses and the general office phone line
  • Supporting the logistical planning and booking of national and international trips and activities of our team
  • Organizing our external and internal events, which could include ordering catering booking venues and preparing the rooms
  • Keeping the general office calendar up to date and taking on general tasks such as scheduling and organizing appointments, meetings, and other staff activities and preparing background documents

Criteria For SelectionOnly individuals who fit the minimum requirements and qualifications will be technically evaluated and considered for the consultancy.Your profile

  • Specific training or experience in Office Management
  • At least five years of relevant work experience
  • Good knowledge of Microsoft Office and Google Docs
  • An accurate, structured, independent and reliable way of working
  • Experience working in a dynamic international environment
  • Ability to communicate efficiently with individuals from all levels of the organization in a multicultural environment
  • Excellent written and verbal communication skills
